Why Custom Vocabulary Matters
Every industry, company, and team has its own language: unique product names, acronyms, technical terms, and regional expressions. Standard speech-to-text engines often mishear or misspell these specialized words.
NoteWave's Custom Vocabulary feature allows you to train the transcription engine with up to 100 domain-specific terms. NoteWave feeds these terms directly into ElevenLabs Scribe v2 to ensure your transcripts capture specialized terminology with 100% accuracy.
How NoteWave Uses Keyterms
When you add keyterms to your Custom Vocabulary:
- Live Recording: Keyterms are passed during WebSocket initialization to prime ElevenLabs Scribe v2 in real time.
- File & URL Uploads: Background processing workers include your vocabulary list when dispatching audio jobs.
- Meeting Bots: Recordings captured via Zoom, Microsoft Teams, and Google Meet bots utilize your configured keyterms automatically.
Adding & Managing Keyterms
To manage your Custom Vocabulary:
Step-by-step guide:
- Go to Settings in the sidebar
- Select the General tab
- Scroll to the Custom Vocabulary card
- Type your word, acronym, or multi-word term into the input field
- Press Enter or click the + button to add it
- Your terms save automatically in the background
- To remove a term, click the × icon on any tag chip
Formatting Rules & Limits
Up to 100 active keyterms per account. Each term can be between 1 and 50 characters long.
Letters, numbers, spaces, hyphens, and periods are supported. Punctuation like commas or semicolons are automatically stripped.
Capitalization is preserved. For acronyms (e.g. "SaaS", "API", "AWS"), enter the exact casing you want to see in your transcripts.
Best Practices for Accuracy
- Focus on rare or ambiguous terms: Do not add common dictionary words. Focus on company names, client names, medical codes, legal statutes, and proprietary tools.
- Include compound product names: Add full multi-word terms like "NoteWave Echo" or "Kubernetes Pod".
- Keep it curated: Remove obsolete project codenames when projects end to keep recognition focused on active topics.
Plan Requirements
Custom Vocabulary is available on Pro, Business, and Enterprise plans. Free plan users can preview the vocabulary panel, with upgrades unlocked immediately upon activating a Pro subscription or 14-day trial.
