Action Items

Automatically extract and track action items from meetings.

Introduction

NoteWave automatically extracts action items from your meetings using AI. These tasks are tracked, assignable, and show completion history including who marked them done and when.

How Action Items Are Generated

After your meeting is transcribed, NoteWave's AI analyzes the conversation and automatically identifies tasks, follow-ups, and commitments mentioned during the discussion.

What gets captured:

  • Explicit task assignments ("John will send the report")
  • Follow-up commitments ("We need to schedule a follow-up meeting")
  • Deliverables with deadlines ("Submit the proposal by Friday")
  • Research or investigation tasks ("Look into the pricing options")
AI-Powered Extraction
Action items are generated using OpenAI's GPT model, which analyzes the full transcript context to identify meaningful tasks rather than just keywords.

Viewing Action Items

Access action items from the Actions tab when viewing any transcript.

Per-Meeting View

See action items specific to a single meeting in the transcript's Actions tab.

Dashboard Overview

View pending and completed action items across all meetings on your Dashboard.

Marking Tasks Complete

Check the box next to any action item to mark it as complete. NoteWave automatically tracks who completed it and when.

Completion tracking includes:

  • Who - User avatar and name of the person who marked it complete
  • When - Relative timestamp (e.g., "2 days ago", "5 minutes ago")
  • Status - Visual indication with green checkmark and completion badge
Optimistic Updates
The UI updates instantly when you check a task, with changes syncing to the database in the background for a smooth experience.

Assigning Action Items

Assign tasks to meeting participants or team members to clarify ownership and responsibility.

How to assign:

  1. Click on an action item to expand options
  2. Click the Assign dropdown
  3. Select a participant from the meeting attendees list
  4. The assignee's name appears next to the task

Editing & Managing Tasks

Customize action items after they're generated to match your workflow.

Available actions:

  • Edit Title - Click on the task text to edit it inline (Notion-style)
  • Set Priority - Choose Low, Medium, or High priority
  • Add Due Date - Set optional deadlines for tasks
  • Delete - Remove tasks that aren't relevant (with confirmation)
Permission Required
Only the meeting owner, task creator, or users with full access permission can edit or delete action items.

Team Collaboration

When you share a transcript with team members, they can view action items and mark their assigned tasks as complete.

View-Only Access

Users can see action items but cannot edit, assign, or mark as complete.

Full Access

Users can manage action items, mark them complete, and track team progress.
