Bot Not Joining Meeting

Troubleshoot when the NoteWave bot fails to join meetings.

Introduction

If the NoteWave bot fails to join your Zoom, Teams, or Google Meet meeting, there are several common causes and solutions. This guide walks you through troubleshooting steps to resolve bot joining issues.

Common Causes

Bot joining failures typically fall into one of these categories:

Invalid Meeting Link

The meeting URL is incorrect, expired, or formatted improperly.

Waiting Room Enabled

The bot is stuck in the waiting room awaiting host approval.

Resource Limitations

No available bots at the service provider (temporary issue).

Waiting Room Approval

When waiting rooms are enabled, you must manually admit the bot.

Steps to admit the bot:

  1. Check the waiting room participants list
  2. Look for "NoteWave Bot" or your custom bot name
  3. Click "Admit" to let the bot join
  4. The bot will start recording immediately
Keep Meeting Controls in Place
You do not need to weaken your meeting security. Keep the lobby or waiting room enabled where required and have the host admit the NoteWave notetaker after confirming participant consent.

Calendar Integration Issues

If your calendar-scheduled bots aren't joining, check your integration status.

Troubleshooting calendar sync:

  • Go to Integrations
  • Check if Zoom, Teams, or Google Meet is still connected
  • If disconnected, click "Reconnect" and authorize again
  • Ensure "Auto-join" toggle is enabled
  • Verify your meeting is on your calendar with a valid join link

Connected calendars are checked on a recurring schedule, currently approximately every 10 minutes. Eligible meetings are scheduled close to their start time.

Temporary Notetaker Availability

Occasionally, a temporary service or capacity issue can delay a notetaker from joining.

Wait and Retry
Wait briefly and try Join Meeting again. If the meeting has already started, keep an independent recording where permitted and contact support if repeated attempts fail.

Duplicate Bot Error

You can only have one active bot per meeting URL at a time.

Solution:

  1. Check whether the notetaker is already visible in the meeting participant list
  2. Check the meeting entry or status shown in NoteWave
  3. Do not repeatedly submit the same meeting link while a join attempt is active
  4. Contact support if the status remains unchanged or the meeting cannot be recorded

Platform-Specific Issues

Some issues are specific to certain meeting platforms.

Zoom
  • • Works with any Zoom plan (Free, Pro, or Business)
  • • Check meeting password settings
  • • Ensure participant join settings allow bots
Teams
  • • May require admin approval
  • • Check lobby settings
  • • Verify external participants are allowed
  • • Teams link must be properly formatted

Checking Bot Status

Use the meeting entry, visible status, and participant list together to identify where joining stopped.

Statuses you may see:

  • Pending or scheduled - The join request is waiting for its start time
  • Joining or waiting - Check the meeting lobby and admit the notetaker if required
  • In meeting or recording - Confirm the notetaker remains in the participant list
  • Failed or cancelled - Review any visible reason, then use the direct-link fallback or contact support
